Global Functionalities (Release 4.4a)
Global Functionalities will allow you to perform certain actions in multiple companies, without having to access each company individually.
The Global Functions will only be available to users set up for Global Access Control on the Premier System.
On the Initial Entry Screen, you will find a new ‘Global Functions’ button at the bottom of the screen.
If any of the Companies have been selected by another user for Global Functions, the column for Flags will display Busy: Global for those Companies.
If you try to access these Companies anyway, a message will stop you.
When you click on the Global Functions button, you will get a Warning Message that all users should be logged out of the system before making changes.
The available options are:
- Activate Stop Further Entry
- Add Company Definitions
The option to perform a Global Start of Period in not included in Release 4.4a but will be available soon. If you select the Global Start of Period, you will get a message stating this.
All Global Functions are recorded on the Audit Logger File.
Globally Activate Stop Further Entry (Release 4.4a)
When you select this option, all Active Companies that you have access to and where you have access to activate Stop Further Entry, will be displayed.
You can select the Companies for which to activate Stop Further Entry individually, or you can click on the Flag all Companies for SFE at the bottom right hand side of the screen.
To de-select all Companies, you can just click on the ‘Flag all Companies for SFE’ again.
SFE for Leave will always go with SFE for Payroll. You cannot activate Stop Further Entry for Leave if the SFE entry for Payroll is not flagged as ‘Yes’. If you try to activate SFE for Leave without activating it for the Payroll, a message will be displayed.
You can, however, only activate ‘SFE Payroll’ for input purposes.
When you exit the screen, the system will activate Stop Further Entry for Payroll and Leave (as selected) in all selected Companies.
If another user is accessing any of the Companies during the same time, a message will be displayed.
Globally Add Company Definitions (Release 4.4a)
This new feature will allow you to add Earnings, Deductions and Company Contributions or Calculation Screen Definitions for multiple companies simultaneously.

A list of all Active and Dormant Companies that you have access to, and in which you have access to Payroll Definitions, will be displayed.
If the Company is flagged for Stop Further Entry, it will not display on the list.
In Step 1 you select the Master Company, which will determine for which Tax Country the Company Definitions are going to be added.
Definitions can only be added globally for Companies using the same Tax Country rules.
If another user is accessing any of the Companies during the same time, a message will be displayed.

Step 2 will display a Company list based on the Tax Tables used for the Company selected in Step 1.
Only Active and Dormant Companies, that you have access to and where you have access to Payroll Definitions will be listed.
If a company is flagged for SFE it will not display on this list.
You can now select all the Companies for which you want to add the new line.

Select the Type of Definition you want to add. The available options are:
- Earnings
- Deductions & Company Contributions
- Calculations (XS)
Then you select the Line to which you want to add the Definition(s) to in all the Companies selected on the previous screens.
- Use First Open Line – will add the new Definition(s) to the first open line in each selected Company
- Use Consolidated Line Numbers – will add the new Definition(s) to the common open Line in all the selected Companies
If no common line exists in all the selected Companies, this option will not be available for selection.

Define the new Earning, Deduction or Calculation Line that will be added to all the selected companies.

This step will be displayed if Use Consolidated Line Numbers was selected in Step 3.
- If the First Open Line in the Company was selected, the process will complete without this step and no further user intervention. The new Definitions will only be added to Companies where there are open lines. If a selected Company does not have an open line, it will be reported on the Add Definitions Warning Report that prints at the end of the Add Definition process, indicating that the line was not added for that Company.
- If the Use Consolidated Line Numbers was selected, Step 5 lists all the available common lines. Select the line to be used.
Once the process is complete, a final message screen will be displayed to remind the user of outstanding information that must be checked.
When any user accesses one of the selected Companies after Globally Adding Definitions, the system will automatically do a General Recalculation to ensure all fields are applied correctly.

If any of the selected Companies were not included in the Add Definition process, they will be listed on this report with reference to the Definition that was not added.

To remove this flag, you will need to contact the VIP Support Desk to get the VIPSD Password. When you then access the Global Functions, a ‘Reset’ button will be displayed. Click this button to reset the ‘Busy: Global’ flags.
If Definitions are being added Globally and VIP is closed by means of ‘End Task’ or other unexpected means, the selected Companies will be flagged as ‘Busy: Global’. It will not be possible to access these Companies when this flag is on.
A message will be displayed when the process is complete.
