About the Company Miscellaneous Screen
The Company Miscellaneous Screen contains information which affects the processing of your payroll. This includes the date format, the number of working hours and shifts as well as working and calendar days in the month, whether Average or Normal Tax is to be used, Council Affiliation, Basic Conditions of Employment parameters, etc.
How to Access the Company Miscellaneous Screen
To access the Company Miscellaneous Screen from the VIP Main Menu:
- Click on Company.
- Click on Miscellaneous.
- The Company Miscellaneous Screen will be displayed.
- The Company Miscellaneous Screen consists of four tabs, i.e. the Miscellaneous 1 Tab, the Miscellaneous 2 Tab, the Miscellaneous 3 Tab and the Miscellaneous 4 Tab.
- Click on the required tab.
How to Change/Select Information on the Company Miscellaneous Screen

An Entry Field is a boxed field into which information may be entered.
- Double-click in the field where changes should be made.
- Enter the new information or overwrite the existing information.

A Combo Box is used where you must make a choice from a number of options.
- Click on the down-arrow to display the possible choices.
- Click on the option you need.
- The option selected will be placed in the box.

Tick Boxes are used for a Yes/No type decision. If the Tick Box is blank it means that the option has not been selected. A tick mark in the box means that the option has been selected.
- Click in the box so that the setting is changed and the option is selected/deselected.

Radio Buttons are a set of buttons where one choice must be made.
- Click in the desired Radio Button next to the required field.
It is advisable to contact your VIP Call Centre before making changes to information on this screen.
Some information on this screen may only be changed with the help of a VIP Consultant.
Miscellaneous 2 Tab: Important Fields

Separate Payslip Information may be viewed from this screen. This includes:
Once Separate Payslips have been activated on this screen, a Separate Payslips Button will be available at the bottom of the screen.
Accessing the Separate Payslips Setup Screen

The Remuneration History Control Screen allows you to customise fields for the Remuneration History Screen.
Remuneration History Control Screen
This button will only be available if you are licenced to use the Personnel History Module.
When you click on the <Rem History> Button, the Remuneration History Control Screen will be displayed.
This screen can only be accessed with the assistance of a VIP Consultant and the VIPSD password.
Pensionable Salary
You have to select the field which you want to reflect on the Employee Remuneration History Screen. Two options are available, namely:
Earning Field:
- When you click on this field, a list of Earnings will be displayed.
- Select the applicable Earning, e.g. Package.
- Specify the column on the Payslip Screen, e.g. Fixed.
Calculation Field:
- When you click on this field, a list of Calculation Fields will be displayed.
- Select the applicable field.
- Specify the column, e.g. Amount.
Optional Information
You have to select the field which you want to reflect on the Employee Remuneration History Screen. The following options are available:
- Calculation Field,
- Current RFI,
- Shifts per Period, and
- Own Information.
Any changes to these fields will only reflect from the date of the change.
Information on all records prior to this change will reflect the information previously entered.

Career History transactions will automatically be created when the Employee Analysis Details have been amended on the Employee Information Screen.
This button will only be available if you are licenced to use the Personnel History Module.
Career History Transaction Control Screen
To allow for the automatic recording of a Career History transaction once an Employee Analysis field has been amended on the Employee Information Screen, a Career History Transaction Control Screen is available on the Company Miscellaneous Screen.
This screen can only be accessed with the assistance of a VIP Consultant and the VIPSD password.
When you click on the <Career History> Button, the Career History Transaction Control Screen will be displayed.
Tick the Analysis Fields that must automatically create a System Generated Transaction on the Career History Screen, to update the Employee Career History, once the Analysis Field has been changed on the Employee Information Screen.
The options are:
- Job Title,
- Job Grade,
- Department,
- Category,
- Pay Point, and
- RSC Code.
Employee Career History Screen
Once the Analysis Field has been ticked on the Career History Transaction Control Screen, a System Generated Transaction will automatically be created if the Employee Analysis Code:
- Has been linked for the first time on the Employee Information Screen,
- Has been amended on the Employee Information Screen,
- Has been changed via a Batch processed,
- Has been changed via a Batch Import, and
- Has been changed in a company licensed for Job Management where Analysis Fields are linked to a Position and Positions or Job Codes were changed, resulting in a change to the Analysis Code.
No changes may be made to a System Generated Transaction. If it is incorrect, it will need to be changed on the Employee Information Screen.
The Transaction Date is the Period Start Date.
Authorised By (Auth By) will be the first 4 characters of the Audit Name of the user logged into VIP.
Due to limited space on the Employee Career History Screen, the RSC Code will not display in a column, but is still stored on the detailed Transaction Screen and can also be printed.
Miscellaneous 3 Tab: Important Fields

The intention of the company logo is to specify a company logo file that can be printed on different reports/payslips.
The logo will only be able to print on NEW format reports and not on the standard reports on the Reports Menu.
This feature is located on the Miscellaneous Tab 3.
The top part of the screen will allow you to specify the company logo.
The logo may be square or rectangular.
It is important that:
- The logo file resides within the VIP folder.
- Is in .bmp format.
- Contains no spaces in the file name.
It is advised that:
- The logo is 100x100 pixels if square, or
- The logo is 154x46 pixels if rectangular.
Once the file has been selected, the logo will be displayed on the screen as an example. If no file is selected, VIP logo will be displayed.

On the History Reports Menu:
- The EMP201 Validation Report.
- The EMP501 Recon Report.
- Leave History Report.
- Loan History Report.
- Salary History Report.
- Savings History Report.
Payslips:
- Current Period using the History format.
- History Payslips.

The Currency Symbol selected on the Company Miscellaneous Screen will print in front of the Nett Pay amount on the New Layout Payslips.
Click on the Info Button to see a list of all available countries with their currencies and symbols.

The Currency Symbol will only print on CURRENT Payslips and NOT on HISTORY Payslips.


E-mails are mostly used to send information from VIP Payroll to its clients. This information includes notifications about updates and/or enhancements, changes to the system, legislative information, etc.
In order to improve the communication between VIP Payroll and its clients, and to ensure that the right people receive the right information from us, an Info@SageVIP tool has been made available for VIP users.
This will ensure that information will be send through on a regular basis without sending any e-mails.

URL
“Web sites are found by their addresses on the World Wide Web. These addresses are known as URLs, or Uniform Resource Locators. Every web site has a URL, or Uniform Resource Locator, assigned to it so both searchers and web servers can find them quickly and easily.”
The URL will contain: Update News, Tips and Tricks, Statutory Information, Call Centre information and much more.
The information on the URL can change on a daily, weekly or monthly basis.
Company Miscellaneous Screen
The URL functionality may be activated on the Company Miscellaneous Screen.
On the Miscellaneous 3 Tab:
- Tick the Info@SageVIP option.
- The URL may be viewed on the Main Menu.
If this option is not ticked, a normal VIP Splash Screen will display.
The URL will be hosted on an Outside VIP Server. If the system cannot find the page or if you do not have internet access, then the normal VIP Splash Screen will display.
You have the option to switch the URL off at any time (i.e. un-tick this option on the Miscellaneous 3 Tab).
Main Menu Messages
Messages will display in a green banner underneath the Main Menu banner.
Messages differ depending on which Payroll System you use.
If Stop Further Entry (SFE) (VIP Premier and VIP Classic Payroll) has been activated, it will reflect on the green banner, in white, underneath the heading Main Menu (in the blue banner).
If you are licenced for ESS or integrate with Premier HR (VIP Premier Payroll), then a message will display on the right-hand side of the green banner “You are and Integrated Systems User”
The green banner will always display for companies using the URL or companies not using the URL.

About Default Browse Locations
Here you may specify a default location for all export files and backups.
The default browse location may not contain any spaces.
Click on the <Browse> button and find the required location.
When performing ANY export or selecting to backup to ANY backup option, the default location will be displayed.

Miscellaneous 4 Tab: Important Fields

The Miscellaneous 4 Tab has eight numerical entry fields that can be used for values like:
- Interest Rate,
- OID Percentage,
- Exchange rate, etc.
The purpose of this tab is to provide entry fields for values that can be used in a Method of Calculation. When these values change, it is amended on this tab without having to access the Method of Calculation.
These entry fields are numerical with nine digits before the decimal point and two after.

All the fields on this tab can be customised to your specific requirements.

The maximum length of these fields is 15 characters.

Once the Gross Up Currencies feature has been licensed, the Gross Up Payroll Currency option will be available on this tab.
If there are employees in the company that are employed according to a Guaranteed Nett Salary in a currency that differs from the currency of the payroll, this field will need to be populated.
You must select the currency that this company's payroll is processed in. This would be the same as the Tax Table that the company is set up to use.
Gross Up Payroll Currency
- Click on the down-arrow next to the Payroll Currency field.
- The Payroll Currency List will be displayed.
- The Payroll Currency List is sorted alphabetically according to Report Description.
- Make your selection.
Any selection or change made to this field is recorded on the Audit Logger File.
